BOOKING TERMS

HOW DO I BOOK A spot AT ADVENTURE DAYS?

To book your spot at Adventure Days, please fill out the booking form on the website. You can also book by phone or via Email. When you pay your registration fee, you accept the terms and conditions below.

REGISTRATION FEE AND FINAL PAYMENT

After your registration, you will receive a confirmation with payment information via Email. The registration fee is 3,500 SEK and must be paid within 3 working days. The final payment must be paid no later than 90 days before the event. When booking later than 90 days before the event, the full amount must be paid within 3 working days. If you do not pay the registration fee or final payment on time, you risk cancellation and our cancellation rules apply.

AS AN EVENT ORGANIZER, WE ARE REQUIRED TO:

– You will receive a written confirmation of your booking via Email.
– The event & accommodation are as described.
– You will be informed of any significant changes that affect your booking.
– You may use the accommodation from 15.00 on the day of arrival.
– You may use the accommodation until 11.00 on the day of departure.

PARTICIPATION & MOTORCYCLE

You participate in the event at your own risk. All riding during the event is voluntary and you bear the ultimate responsibility if you cause an accident. You are personally responsible for ensuring that your own motorcycle is in good condition to be used at the event and that it is taxed, insured and legal for use on public roads. Ride Nordic cannot be held liable for damage caused to your motorcycle or you as the rider during the event. The same applies if riding at the event is conducted outside of public roads. It is your own responsibility to ensure that your insurance is valid where the vehicle is ridden.

INSURANCE

You are required to have health- and accident insurance that also covers motorcycle riding and at least third party insurance on the vehicle you ride during the event.

DRIVING LICENSE

You must have a valid driving license for the motorcycle you are riding during the event and make sure it is valid in Sweden and Norway. If requested you are  oblogated to show valid driving license upon request from the team/instructor/tour guide.

HEALTH

You are not under the influence of alcohol or drugs during any riding during the event. If you have any physical/mental problems that may affect your performance during the event, you are required to discuss this (individually) with the team/instructor/tour guide.

OTHER

You are responsible for following the instructor/tour guides instructions, following applicable traffic regulations and keeping a safe distance from other vehicles throughout the event. Ride Nordic AB or partners of Ride Nordic AB (e.g. BMW Motorrad, hired tour guides, hired instructors) cannot be held liable for any personal injuries or damage to your vehicle. It is your obligation to comply with applicable laws and regulations.

CANCELLATION

Cancellation must be made in writing (via Email) to us.
– If canceling more than 90 days before the event, the participant(s) must pay the registration fee in cancellation cost.
– Cancellation 90-45 days before the event: 50% of the total event price in cancellation cost.
– Cancellation less than 45 days before the event. 100% of the total event price in cancellation cost.

CANCELLATION INSURANCE

You can protect yourself against cancellation costs by adding cancellation insurance. The price for cancellation insurance is stated in the booking and let you the event up to 3 days before the event starts for an administration fee of 1000 SEK plus the cost of the cancellation insurance.

Cancellation insurance applies in the following cases, which must not have been known when you booked:
– Death, illness, or serious accident that affects you, your spouse, partner or closest family.
– Called in for military service or civilian defense.
– Any other serious event that occurs outside your control, which you could not foresee when you booked and which means that it is not reasonable to ask you to stick to your booking.

You must be able to prove your disability with a certificate from, for example, a doctor, authority or insurance company. The certificate must be sent to us within one week of the cancellation date.

CHANGE OF BOOKING

When changing participants on a booking, a changeing fee of 1000 SEK will be charged. In this case, you must notify us no later than 3 days before the event starts.

WHAT IF THE EVENT IS CANCELLED?

If Ride Nordic chooses to cancel the event, 100% of the cost will be refunded. This is usually announced at least 45 days before the event starts, but can be done as late as 7 days before. Ride Nordic cannot be held responsible for any other costs, such as tickets, hotels, etc.

IF WE DO NOT AGREE?

Please inform us directly with any complaints. Your chances of getting a remedy may be reduced if you delay in complaining. If we do not agree, you can contact the The National Board for Consumer Disputes. They consist of an impartial chairman and a number of representatives of tour operators and consumers.

WHAT ARE MY OBLIGATIONS?

You must take good care of the hotel room and follow the rules, instructions and regulations that apply. Between 23.00 and 7.00 the participant must be considerate and quiet towards other guests at the event. You are responsible for any damage that occurs to hotel rooms and furnishings through your or someone in your party being negligent. You are obliged to comply with the regulations regarding smoking and pet prohibitions that apply to the accommodation. You may not use the accommodation for anything other than what was agreed upon when booking and you may not let more people stay in the room than you stated when booking.

PROGRAM CHANGES

Ride Nordic reserves the right to make changes to information in the program without further notice. Ride Nordic also reserves the right to make changes to the terms of agreement that apply to the event without further notice.

WEBSITES

We do not guarantee the accuracy of information provided on websites other than Ride Nordic’s own website. This also applies to links to other pages.

OUR DATA PROTECTION POLICY (GDPR)

DATA HANDLING

Personal data is available to those who work with customer-related data and marketing at Ride Nordic. Your information may also be disclosed to Selma Spa in order to deliver your accommodation option and to BMW Motorrad Nordic in marketing its products. Otherwise, we do not disclose personal information to anyone other than the parties mentioned above. You have the right to request access to, correction and deletion of personal data, restriction of personal data and sensitive personal data. In order to have valid accounting, certain information cannot always be deleted by law.

Please note that you who book and enter other participants’ information in the same booking are obliged to share the contents of this agreement with all participants. You must then ensure that they agree to the contents of the agreement before you accept the terms and conditions and make the booking.

CHANGE OR DELETEMENT OF PERSONAL DATA

If you have previously given us consent to collect and store your personal data, you have the right to contact us to revoke this. It is best to contact us via email if you have a request regarding personal data. In that case, please contact us from the Email you have previously used when you have visited us, or we would like you to be able to identify yourself in another way to ensure your identity.

Please note that you always have the right to complain to the Swedish Data Protection Authority if you believe that we are failing in our handling of personal data, but of course we are grateful if you can contact us in the first instance so that we have the opportunity to improve.

ACTION PLAN

If we suspect that something has occurred that affects personal data, such as an intrusion attack against a database, the Swedish Data Protection Authority will be notified within 72 hours together with the following information:

– What data has been affected
– The number of people affected
– Potential consequences
– Actions taken and planned actions

If the incident may lead to people being exposed to serious risks such as ID theft, fraud or discrimination, those affected will also be informed. If we do not believe that such a risk exists, an assessment will be made on a case-by-case basis as to whether the affected person should be informed and, if so, which method should be used. All incidents involving personal data will be documented.

PERSONAL DATA PROCESSING REGARDING QUOTATIONS, AGREEMENTS, CUSTOMER MEETINGS AND BOOKINGS

Personal data and related information that may be collected during quotations, agreements, customer meetings and orders:

– First name
– Last name
– Address
– Telephone number
– Email
– Date of birth

Personal data and related information about an order or quotation are stored in our financial system for the purpose of complying with the Accounting Act and to maintain a business relationship between the customer and Ride Nordic. Personal data linked to bookings in our financial system are stored for at least 7 years according to the Accounting Act.

NEWSLETTER

Participants who have registered for newsletters on the website or booked experiences from us are registered in our online newsletter program. The purpose is to be able to send newsletters and targeted offers. The information in this system is stored by Paloma, Åsgatan 63, 776 31 Hedemora. This system only contains email addresses, unless you have registered your name when registering on our websites. We believe that you who book our experiences have a fundamental interest in our services and that we have a customer relationship. There is always a link at the bottom of our newsletters for those of you who wish to unsubscribe from our mailings.

SUPPLIERS

Personal data related to suppliers is saved in our financial system in order to maintain a business relationship between the supplier and Ride Nordic. The information is used to communicate with the supplier and mainly concerns orders and prices. The information is saved as long as we consider ourselves to have a customer relationship or until an agreement has expired. Personal data and related information that we store regarding suppliers:

– First name
– Last name
– Telephone number
– Company name
– Company address
– Email
– Website
– Corporate identity number
– Bankgiro/plusgiro

COOKIES

We use Google Analytics. It is a statistics tool used to analyze how our visitors use the site. This means that information is collected about which pages you visit, the number of clicks and similar information. IP address and personal information are automatically anonymized by Google so as not to make a user identifiable. If your browser is set to allow cookies, we interpret this as you agree to us placing cookies on your computer. You can change this yourself by not allowing cookies in your browser.
